The Executive Assistant (EA) is responsible for the provision of personal administrative support and assistance to the Managing Directors (or equivalent business leader) at Weber Shandwick. Additionally, the EA is responsible for organising and coordinating office operations and procedures in order to ensure organisational effectiveness and efficiency.
A central point of contact in the office, the EA is an effective communicator with excellent interpersonal skills. Ready and able to exercise initiative in a role that requires the ability to multi-task, the EA is able to work independently whilst being a good team player, solution orientated and proactive with superior time management skills.
Key Responsibilities
1. Administrative Support to Managing Director(s)
Develop an understanding of the work of the Managing Director(s) in order to arrange meetings, manage diary, prepare documentation, deal with incoming mail, take minutes, draft correspondence on behalf of the Managing Director(s)
Undertake and manage projects to successful and timely conclusions, providing written reports and analysis as required
Organise and service meetings of staff team and other meetings as determined by the Managing Director(s)
2. Office Services
Manage Office Manager and oversee all operations within the office
Provide health and safety management, facilities management and oversight of office supplies management
Oversee the establishment and maintenance of effective electronic and manual filing systems for office and support services
Direction to the Office Manager such that all furniture and office equipment is maintained, replacing items as necessary within agreed budgets
Liaise with premises landlord on all issues relating to the space ensuring it is accessible
3. Support Services
Arrange travel and accommodation for the Managing Director(s)
Plan, effect and complete delegated projects within agreed timescales and budgets
Manage and facilitate the Managing Director’s expenses, timesheets and other specified administrative support as determined in agreement with the Managing Director(s)
4. Team working
Work co-operatively with other members of team to deliver agreed objectives
Attend and participate in meetings, including staff meetings, as required
Attend training as necessary in order to meet changing needs, new technology developments and service requirements
Positively represent Weber Shandwick as organisations to external agencies
Undertake any other duties and tasks appropriate to the post as may be required from time-to-time by the Managing Director(s)
Education and Training
Prior experience preferably in Media or fast-paced industr y is an advantage
Sound knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience
Minimum of 5 years relevant working experience
